Overview

Calentix offers three ways to incorporate breaks into your schedule:

  • Fixed Breaks – Regular break times that always apply (e.g., lunch break).
  • Flexible Buffers – Automatic buffer time before and/or after each appointment.
  • Global Buffer – A minimum gap between all appointments in an availability.

Setting Up Fixed Breaks

Fixed breaks block specific time slots in your availability. A typical example: lunch break from 12:00 to 13:00.

  1. Go to Availabilities and open the desired availability.
  2. Activate the Enable Breaks switch.
  3. Click on + Add Break.
  4. Select the weekdays on which the break should apply.
  5. Set the start and end time of the break.
  6. Save the availability.

You can define multiple fixed breaks – e.g., a lunch break and an afternoon break.

Flexible Buffers per Booking Type

Buffer times are automatically reserved before and/or after each appointment. This gives you time for preparation and follow-up.

  1. Open the desired booking type under Booking Types.
  2. Scroll to the Buffer Times section.
  3. Set the Buffer Before (e.g., 10 minutes preparation).
  4. Set the Buffer After (e.g., 15 minutes follow-up).
  5. Save the booking type.

Example: For a 30-minute appointment with a 10 min. buffer before and 15 min. buffer after, a total slot of 55 minutes is blocked. The customer still only sees the 30-minute appointment duration.

Global Buffer in Availability

In addition to buffers per booking type, you can define a global minimum gap in availability. This applies between all appointments, regardless of booking type.

  1. Open your availability.
  2. Set the value for Buffer Between Appointments (e.g., 5 minutes).
  3. Save the availability.

Interaction

The different breaks and buffers complement each other:

  • Fixed Breaks block entire time slots – no appointments are offered during these times.
  • Booking Type Buffers create space before/after a specific appointment.
  • Global Buffer ensures that there is always a minimum gap between any two appointments.

Calentix calculates the available slots taking all three factors into account. This ensures that no overlaps occur.
